Privacy Policy

Preflight AI LLC (“Company,” “we,” “us”) operates TachMinder. This Privacy Policy describes how we collect, use, and protect your personal information when you use our Service.

1. Information We Collect

Information you provide

  • Account information: Name and email address from your social login provider (Google, Microsoft, or Apple).
  • Aircraft data: Tail numbers, make/model, maintenance records, logbook entries, flight times, and uploaded documents (photos, PDFs).
  • Extracted document content: When you upload a document, we extract and store its text content and a structured representation of the data inside it (e.g., maintenance entries, tach/hobbs readings, AD references). This extracted content is retained alongside the original file so the document can be re-processed if our parsing improves.
  • Aircraft profile (AI memory): We generate and maintain a per-aircraft summary document that aggregates your aircraft's identification, times, regulatory status, maintenance schedule, AD compliance, oil trends, document history, and open squawks. This profile is stored with your aircraft record and refreshed as new data is added. It is used as context for AI responses so the advisor can reason about your aircraft's full history.
  • Communication preferences: Reminder settings, notification preferences, and support correspondence.
  • Cancellation feedback: If you cancel your subscription, we collect your reason for cancelling (from a short list of options) and any optional free-text feedback you choose to provide. We use this only to improve TachMinder and never share it publicly.

Information collected automatically

  • Usage data: Pages visited, features used, and interaction patterns via Google Analytics 4 and Microsoft Clarity.
  • Device information: Browser type, operating system, and screen resolution.

2. How We Use Your Information

  • Provide and improve the TachMinder service
  • Send maintenance reminders and safety alerts
  • Process subscription payments via Stripe
  • Power AI features (maintenance advice, document parsing, AD research, aircraft profile generation) using Anthropic's AI API
  • Extract structured data from documents you upload, validate it against physical invariants (e.g., tach time cannot exceed hobbs time), and route low-confidence extractions to a pending-review queue before they update your aircraft's records
  • Maintain the per-aircraft profile described above so advisory responses improve over time as your history accumulates
  • Communicate service updates and account notifications
  • Analyze usage patterns to improve the product

3. How We Share Your Information

We do not sell your personal information. We share data only with:

  • Service providers: Auth0 (authentication), Stripe (payments), Neon (database hosting), Cloudflare (file storage), Anthropic (AI processing), Loops.so (email), and Vercel (hosting).
  • Linked providers: If you link your aircraft to a maintenance provider through TachMinder, that provider can see your aircraft data, maintenance status, and logbook entries for the linked aircraft only.
  • Legal requirements: We may disclose information if required by law or to protect the rights and safety of our users.

4. AI Data Processing

When you use AI features (Ask TachMinder, document parsing, pre-visit summaries, advisor queries), your aircraft data and queries are sent to Anthropic's AI API for processing. Anthropic does not use your data to train their models. AI-generated responses are not retained by Anthropic beyond short-term operational use (e.g., safety monitoring) per their commercial terms.

Document extraction. Text-based PDFs are extracted on our own servers without sending the file to any third party. Scanned documents and images (e.g., photos of logbook pages, handwritten entries) are sent to Anthropic's AI vision API for optical character recognition because they cannot be read by on-server text extractors. In both cases, the extracted text and a structured representation of its contents are stored in our database alongside the original file.

Validation and review. Every extraction is checked against physical invariants (for example, hobbs time can never decrease, tach time cannot exceed hobbs time, AD numbers must match a recognized format) and classified by confidence. High-confidence extractions update your aircraft's records automatically; medium-confidence extractions are placed in a pending-review queue for your approval; low-confidence extractions are quarantined and cannot update your records until you correct them or dismiss them. The original extracted data is never overwritten — corrections are stored separately so the audit trail is preserved.

Aircraft profile as AI context. To make advisory responses accurate, we generate and maintain a per-aircraft profile that aggregates your aircraft's current times, maintenance schedule, AD compliance, oil trends, document history, and open items. When you ask the AI a question about your aircraft, this profile is included in the prompt so the model can reason about your specific situation. The profile is regenerated as your data changes and is stored with your aircraft record. Deleting the aircraft deletes the profile.

5. Data Storage and Security

Your data is stored on servers in the United States. We use industry-standard security measures including encrypted connections (TLS), encrypted database storage, and access controls. Uploaded files are stored in Cloudflare R2 with access restricted to your account.

6. Data Retention

We retain your data for as long as your account is active. If you delete your account, we will delete your personal data within 30 days, except where retention is required by law or for legitimate business purposes (e.g., billing records).

Uploaded documents, their extracted text, structured parse results, and the per-aircraft profile described in Section 4 are retained for the life of the associated aircraft record. Deleting an individual document removes that document's file, extracted text, and structured parse results. Deleting an aircraft removes the aircraft's profile and all associated documents and extracted content.

7. Your Rights

You have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your account and data
  • Export your aircraft and maintenance data
  • Opt out of marketing communications

8. Cookies and Tracking

We use cookies for authentication (session management) and analytics (Google Analytics 4, Microsoft Clarity). You can manage cookie preferences through your browser settings or our cookie consent banner.

9. Children's Privacy

TachMinder is not intended for children under 18. We do not knowingly collect personal information from minors.

10. International Users

TachMinder is operated from the United States. If you access the Service from outside the US, your information will be transferred to and processed in the United States.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated via email or in-app notification. The “Last Updated” date at the top reflects the most recent revision.
