Uploading documents: from paperwork to records
Paper is where GA maintenance history lives — logbook pages, work orders, oil analysis reports. The Upload docs button on your aircraft page takes photos and PDFs of that paperwork and turns them into structured records, with you reviewing everything before it lands in your aircraft's history.
What happens when you upload
Drop in photos or PDFs
Snap a phone photo of a logbook page or upload the shop's PDF work order — either works.Auto-classification
Each file is automatically classified — registration, logbook page, work order, or oil analysis report — and routed to the right pipeline. If a file can't be read, TachMinder tells you which one, per file. Nothing is silently dropped. You review before anything commits
Parsed logbook entries go to a review step where you confirm or correct them against the original document. The AI drafts; you decide what enters the record.
AD numbers found in your documents
When a document mentions Airworthiness Directive numbers, those are staged for your review rather than written straight into your compliance records. A staged AD is only committed once you've confirmed it and it has been resolved against the AD catalog. That keeps a smudged logbook line from becoming a compliance record you never vetted.
Always verify with the FAA: While TachMinder helps you track Airworthiness Directive compliance, the FAA's AD database at drs.faa.gov is the authoritative source for all AD information. Verify applicability and compliance requirements directly with the FAA.
Scoped uploads: closing the loop
You don't have to upload from the aircraft page. Uploading from a specific squawk, AD, or oil-sample row links the resulting record to that item and closes it — the paperwork and the thing it resolves stay attached to each other. See Managing maintenance and squawks for where those rows live.
Guards that protect your record
- Tail-number guard. A document whose tail number doesn't match this aircraft is blocked — it's almost always the wrong airplane's paperwork. The exception: if your aircraft was re-registered and you've recorded the old tail as a former registration, documents filed under that former tail are accepted. Editing aircraft details covers recording former registrations.
- Duplicate protection. Re-uploading the same entries — the same logbook page twice, or a work order that overlaps a page you already imported — won't double-import them.
For single-flight uploads that prefill the flight log form, see Logging flights and keeping your hours current.
TachMinder is an informational tool only. It is not a substitute for a certified A&P mechanic or IA. Only certificated mechanics and appropriately rated repair stations can approve return-to-service. Always verify Airworthiness Directive data with the FAA AD database (drs.faa.gov). TachMinder does not certify airworthiness.
