Submitting work for owner approval

The Submit Work tab on a linked aircraft's page is where you record work you've performed or discrepancies you've found. The defining rule: nothing you submit writes directly to the owner's record. Every submission goes to the owner for review — they accept or decline each item, and anything that conflicts with their current records is flagged to them. The owner stays the records custodian; you supply the professional's side of the record.

Three ways to submit work

  1. Maintenance Completion

    Record completed work against the aircraft's maintenance items — an oil change, a 100-hour item, whatever you just finished. This is the workhorse form, and it supports work-order upload (below).
  2. New Squawk

    Log a discrepancy you found, with a priority (low, normal, high, or critical) and optionally the tach time when you observed it. Squawks are discoveries, not return-to-service — so they carry no certificate fields.
  3. Full Logbook Entry

    Write a complete logbook entry when the work doesn't map to an existing maintenance item or you want to record it in full logbook form.

Certificate information on completions and logbook entries

For maintenance completions and full logbook entries, you record the kind of certificate you hold — A&P, IA, or repair station — plus your certificate number. This captures the return-to-service signoff data required by 14 CFR §43.9(a)(4): signature, certificate number, and kind of certificate, for the record the owner retains.

Two things TachMinder deliberately does not do: it does not verify your certificate privileges, and it does not itself approve return to service. It records what you signed — the legal act is yours. For who is authorized to sign what, see Who signs what.

Work-order upload with AI pre-fill

On a Maintenance Completion you can upload the work-order PDF or a photo of it. AI extracts the title, times, mechanic name, and certificate details, and pre-fills the form. The app never blind-trusts the extraction: suggested certificate types are validated, and you must confirm the values before submitting. Always read the pre-filled fields against your actual paperwork — the extraction is a time-saver, not an authority.

Test-flight flag

A toggle on the submission flags that a post-maintenance test flight is needed. When set, it's shown clearly in the owner's logbook, so the requirement doesn't get lost between the shop and the next flight.

What the owner sees

Your submission lands in the owner's review queue. They can accept or decline per item, and TachMinder flags any conflicts with their current records so nothing is silently overwritten. Once accepted, the entry becomes part of the record the owner keeps — attributed to you, with your certificate information where the form captured it.
